These Terms govern your use of the ConferenceAlert virtual scientific conference directory and associated services. Please read them carefully before using our platform.

Section 01

Acceptance of Terms

By accessing or using the ConferenceAlert platform at conferencealert.online, you agree to be legally bound by these Terms & Conditions. If you do not agree with any part of these Terms, you must not use our platform.

These Terms apply to all visitors, users, and others who access or use our services, including conference registrants, abstract presenters, and academic enquirers.

Section 02

Description of Services

ConferenceAlert operates a global virtual scientific conference directory and event coordination platform. Our services include:

  • Discovery and listing of upcoming international virtual conferences across 11 academic disciplines.
  • Abstract submission, peer-review coordination, and proceedings publication.
  • Transactional email notifications for conference registrations, submission acknowledgements, and account communications.
  • Virtual conference room access and interactive session coordination for registered presenters and attendees.

All conferences listed on our platform are conducted 100% virtually online. No physical venue, travel, or in-person attendance is required.

Section 03

User Eligibility & Registration

To register for a conference or submit an abstract, you must:

  • Be at least 18 years of age, or have authorization from a legal guardian.
  • Provide accurate and complete registration information.
  • Provide a valid, active email address that you own and have authority to use.
  • Not misrepresent your academic affiliation or institutional credentials.

You are responsible for maintaining the confidentiality of any account credentials and for all activities that occur under your account.

Section 04

Virtual Presenter Guidelines

All virtual presenters using the ConferenceAlert platform must:

  • Register and submit abstracts before published deadlines.
  • Ensure the academic integrity and originality of all research presented. Plagiarism, fabrication, or falsification of data are grounds for immediate removal.
  • Adhere to standard academic citation codes of conduct for all presentations.
  • Ensure their internet connection and technical setup are adequate for virtual presentation delivery.
  • Participate in scheduled peer-review processes in good faith.

Section 05

Email Accuracy & Communication

You must provide a valid, active email address when submitting abstracts, registrations, or enquiries. Because our platform coordinates conference access and notifications through email, the accuracy of your email address is essential to service delivery.

⚠ Important: Providing invalid, fake, disposable, or inactive email addresses is a violation of these Terms. Accounts associated with multiple hard email bounces (undeliverable addresses) or spam complaint events will be suspended immediately to protect our email infrastructure and comply with our Amazon SES obligations and AWS Trust & Safety policies.

You acknowledge that you have read our Email Communication & Anti-Spam Policy and consent to receiving transactional emails as part of service delivery.

Section 06

Intellectual Property

  • Your Content: Authors and researchers retain full copyright of their original slides, datasets, and presentation materials submitted to ConferenceAlert conferences.
  • Proceedings License: By submitting an abstract, you grant ConferenceAlert a non-exclusive, royalty-free license to publish your abstract in our official virtual conference proceedings and open-access digital libraries with DOI registration.
  • Platform Content: All website design, text, brand marks, and directory content owned by ConferenceAlert is protected by copyright and may not be reproduced without written permission.

Section 07

Code of Conduct in Virtual Rooms

All participants in ConferenceAlert virtual conference sessions must maintain professional and respectful conduct. The following are strictly prohibited:

  • Harassment, threats, or abusive language directed at other participants.
  • Unauthorized recording or capture of virtual sessions without explicit consent.
  • Spamming session chat rooms or disruptive behavior that interrupts academic presentations.
  • Sharing session access credentials with unauthorized parties.

Violation of these conduct rules will result in immediate removal from the virtual session and possible permanent ban from the platform with no refund.

Section 08

Prohibited Activities

When using ConferenceAlert, you must not:

  • Use our platform to send unsolicited bulk emails, spam, or marketing messages to other users.
  • Scrape, harvest, or collect email addresses or personal information of other participants.
  • Use automated bots, scripts, or crawlers to access our services without authorization.
  • Attempt to circumvent security measures, authentication systems, or access controls.
  • Submit fraudulent registrations, fake identities, or fabricated institutional affiliations.
  • Use our platform for any unlawful purpose or in violation of any applicable laws or regulations.

Section 09

System Security

You must not attempt to hack, penetrate, exploit vulnerabilities, upload malicious code, conduct denial-of-service attacks, or gain unauthorized access to any ConferenceAlert system, including but not limited to the attendee registry database, virtual conference stream servers, or email sending infrastructure.

Suspected security vulnerabilities may be responsibly disclosed to us at support@conferencealert.online.

Section 10

Disclaimer & Liability Limitation

ConferenceAlert provides its platform on an "as is" and "as available" basis. While we strive to maintain uninterrupted service, we make no warranty that the platform will be error-free or that virtual sessions will be uninterrupted due to internet infrastructure variability.

To the maximum extent permitted by applicable law, ConferenceAlert shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of our services. Our total liability shall not exceed the registration fee paid by you for the affected event.

Section 11

Governing Law

These Terms shall be governed by and construed in accordance with the laws of India. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of Hyderabad, Telangana, India.

For international users, nothing in these Terms limits your rights under the consumer protection laws of your country of residence.

Section 12

Changes to Terms

We reserve the right to modify these Terms at any time. When we do, we will update the "Last Updated" date on this page. For material changes, we will notify registered users via a transactional email. Continued use of our platform after changes take effect constitutes acceptance of the updated Terms.
